MAINTENANCE AND CONSTRUCTION MANAGEMENT

  • Insured and experienced maintenance staff works closely with your property manager to handle all repairs associated with your community’s common property and amenities
  • Services include everything from general property maintenance to total renovation projects and new construction. No project is too small or too large
  • Maintenance staff may be reached directly for emergency and non-emergency issues
  • Maintenance staff is available to walk your property to identify existing and potential problems
  • Construction oversight/management for major projects is also available
  • Development of a Scope of Work to ensure all vendors are bidding on the same and equal projects.
  • Issue Request for Proposal to qualified contractors from a preferred vendor list
  • Review of proposals to ensure all aspects of the project are included in the proposal
  • Coordinate with local municipalities regarding permits for projects
  • Coordinate with Engineering Services as required

FINANCIAL AND ADMINISTRATIVE MANAGEMENT

  • Assist board of directors in developing and executing the annual operating budget
  • Coordinate and provide full monthly financial statements
  • Maintain balance sheets, track/monitor reserve funds, reconcile bank accounts monthly
  • Invoice, collect, monitor resident assessment fee payments
  • Manage delinquencies by automatically sending late notices, assessing additional fees as documents allow, work with legal assistance and provide real-time account access, if necessary
  • Coordinate with vendors, including reviewing and paying bills, and maintaining records
  • Maintain regularly updated resident records database
  • Assist with the board of directors’ election, including creating and tracking ballots

PROPERTY AND FACILITIES MANAGEMENT 

  • Managers and support staff are available during regular operating hours from 9 a.m. to 5 p.m., Monday through Friday. For full-service management services, after hour emergency calls can be directed to a 24/7 hotline which is monitored by our property management team.
  • Daily management operations include, but are not limited to:
  • Issuing rule violations
  • Coordinating appeals
  • Acting as a point of contact for residents and board members
  • Managing correspondence between homeowners and the board of directors, as well as consistently and continually inspecting the community as determined by the HOA contract
  • Report and request maintenance repair services as needed
  • Negotiate competitive bids for services from our pre-qualified vendor database
  • Monitor specified contracted services, such as managing a clubhouse, swim and tennis facilities, street sweeping, and landscaping.
